Adding eligible insurance plans to your practice

This feature is rolling out in phases

The Add more plans tool is available to a limited number of providers right now, with more providers gaining access over the coming weeks. If you don't see it yet, it's on its way.

From your Insurance status page, you can add new insurance plans directly in Headway. The Add more plans tool shows every plan you're eligible for in your licensed states — including estimated rates — and lets you submit credentialing requests in a few clicks.

How to add more plans

  1. In the left-hand menu, go to Insurance status.
  2. Select Add more plans in the top right.
  3. We'll show you every plan you're eligible for in your licensed states, grouped by state.
  4. Review each plan's eligibility label and rates. Select View rates to see the full breakdown by session type.
  5. Check the box next to each plan you'd like to add — you can select as many as you'd like.
  6. Select Add plans to submit.

Once you've submitted, your Insurance status page updates to show each new plan and its current status.

If a plan you were expecting isn't showing

The list only includes plans you're eligible for but not yet part of, in states where you hold an active license. A plan won't appear if you're already credentialed with it (it'll be listed on your Insurance status page), if it's in a state you're not yet licensed in, or if the panel is closed to new providers. Adding a new state license is a separate step — contact us and we'll help you get started.

 

Understanding the eligibility labels

Each plan shows a label so you know what to expect before you add it.

  • Immediately eligible — You can start seeing clients with this plan right away, even before credentialing is fully finalized. We complete the remaining steps in the background
  • Eligible — You qualify, and credentialing starts automatically when you add the plan. We'll reach out only if we need anything from you
  • Eligibility check required — We need to verify a few details before credentialing can begin. Our team typically reviews these within about two weeks. No action is needed from you in the meantime
  • Waitlist — This plan isn't accepting new providers right now. We'll add you to the waitlist and let you know when credentialing can begin

Frequently searched plans

Some plans are marked as frequently searched, which means clients in your state often look for that plan. Adding it can help you reach more prospective patients.

Reviewing your rates

For each plan, you'll see an estimated rate per session before you decide to add it. Select View rates to expand a full breakdown by session type, including initial evaluations and follow-up sessions.

As a note, rates are based on your specialty and state. Final amounts may vary by claim and modifier.

What to expect after you submit

  • Immediately eligible — You're set to start seeing clients with that plan right away
  • Eligible — Credentialing begins automatically. Track progress on your Insurance status page
  • Eligibility check required — Our team reviews your details, typically within about two weeks, and updates the status once confirmed
  • Waitlist — You'll stay queued and we'll notify you when the panel opens

You can check the status of any plan at any time from your Insurance status page, where each plan moves through Applied → Get credentialed → Get paid.

As a note, removing a plan isn't available through this tool yet. If you'd like to stop working with a plan, or if a submitted plan doesn't show progress within the expected timeframe, contact us and we'll help.
