Practice location quality

Starting on April 1st 2026, Headway will now automatically archive in-person practice addresses unused in the past 6 months. Archived addresses are hidden from search, profiles, and payer directories but not deleted.
 

How it works

To keep your profile and payer directory listings accurate, Headway automatically archives practice addresses that haven't been used in 6 months. 

Here's what to expect, and what to do if you want to keep a location active.
 

Early heads-up in the portal

When you log in, you'll see a banner on your Addresses page if any of your locations are at risk of being archived, along with the target archival date.

You'll also see a popup the first time you open your Calendar that month listing the same at-risk addresses.

To keep a location, just click Keep (I still see patients here) next to the address. That resets the clock for another 3 months, and no other action needed.
 

Reminder email 14 days before archival

If you haven't taken action yet, we'll send you an email two weeks before the archival date. It will tell you:

  • Which addresses appear unused
  • Why we clean up inactive addresses (to protect your standing with payers and improve the patient experience)
  • What happens if no action is taken
     

Automatic archival

If no action is taken by the end of the month, the unused addresses are archived. 

You'll receive an email and an in-product notification confirming what was archived, with a link to your Addresses page in case you need to re-add a location.
 

Re-adding or restoring an address

You can un-archive or re-add an address at any time from your Addresses page.

Keep in mind: a restored or re-added address is treated as new for roster and claims purposes, and starts a fresh 6-month observation window.
 

Protecting an address from archival 

If you want to make sure your address is not archived, please be sure to: 

  • Schedule or hold an in-person visit there, or
  • Keep it on their calendar with future availability, or
  • Attest on SettingsTelehealth and Offices
