Headway’s AI note assistant, Scribe, is designed to help your provider stay more present with you during sessions while maintaining thorough, accurate documentation. Instead of taking detailed manual notes while you speak, your provider can use Scribe to create a draft as a starting point, which they then review and edit to reflect their clinical judgment.
You can think of Scribe as working with your therapist rather than for them. By reducing the time spent on insurance documentation, your provider can focus more of their energy on your care.
Consent and privacy
AI-assisted notes are completely optional. Your provider must obtain your consent before using this feature, and you will continue to receive care as usual even if you choose not to participate.
- How consent works: Your provider will request permission before transcription begins, either before or during your session. Transcription only starts if you agree; if you decline, the visit proceeds as a normal telehealth call.
- Revoking consent: You can revoke your consent at any time in your Settings page. If you turn consent off, future sessions will not be transcribed unless you opt back in. You are able to revoke access mid-session. Your provider would then need to ask for consent again for any future visits.
- Visibility: When transcription is active, an on-screen status indicator will be visible. Your provider also has the ability to pause the transcription at any time.
Privacy, security, and data use
Headway handles your health information in accordance with our HIPAA Notice of Privacy Practices.
For AI-assisted notes, your session is securely transcribed solely to generate a draft progress note for your provider’s review. The session note will contain PHI from the session transcription. Aside from the content of that note, no client PHI like names, locations, phone numbers, is retained from the transcription after approximately 30 days, unless required by law.
Important privacy details:
- We do not sell your clinical data to third parties.
- No audio or video is retained from the transcription.
- Your provider remains responsible for editing and revising the drafted note before submission to ensure it is accurate.
In the rare event we identify a quality concern during the course of our accuracy review, we will respond in accordance with applicable law and Headway’s policies. When this occurs, we may retain the transcription for more than 30 days.
Your provider may opt in to letting de-identified transcripts be used to improve Headway products and services.
Experience and cost
Using this feature does not change the nature of your telehealth visit; it remains a one-on-one session between you and your provider. Scribe is included as part of Headway and there is no extra cost to you.
