To ensure a smooth credentialing process and maintain your active status on Headway, we may occasionally request additional information or updated documentation after your initial intake.
These requests are managed through a streamlined task system designed to keep your credentialing or re-credentialing process moving forward without unnecessary delays.
Identifying required action
If we need more information to proceed with your applications, we will notify you through two primary channels:

In-product banners: Log in to Sigmund and check your Insurance status page. A red Action Required banner will appear, and specific insurance carrier cards will be marked with an Action needed flag.
- Email notifications: Watch for an initial email outlining the specific information or document needed. We will also send periodic reminders for any tasks that remain open.
Understanding the request
We generally request additional documentation for one of the following reasons:
- Incomplete initial submissions: Information provided during intake was incomplete or lacked specific details required by insurance carriers.
- Document non-compliance: A submitted document (e.g., a Certificate of Insurance/COI) did not meet specific payer requirements.
- Expired documentation: A previously submitted document is now expired, and an updated copy is required for your file.

Role-specific requirements: Certain roles, such as Nurse Practitioners in specific states, require the submission of supervising physician details.
Submitting documentation
To resolve tasks as quickly as possible, use the submission tools in your provider portal rather than sending documents directly via email.
Option 1: Submit via the Insurance status page (recommended)
The most efficient way to resolve a request is directly through Sigmund, the provider portal.
Navigate to the Insurance status page in Sigmund
Click the Submit here or Submit login button located within the red banner
Use the window that appears to securely enter credentials (such as CAQH or Medicaid logins), or drag and drop files (such as an updated COI)
Option 2: Submit via email links
Every notification email you receive includes a Submit your documentation here button. Click the link to route directly to the appropriate secure form, or Sigmund, to complete the requirement.
A note for Nurse Practitioners (NPs)
If you are an NP with independent practice authority and do not require a supervising physician, upload a copy of your license in place of the collaborative agreement to satisfy the system requirement.
Resolving submission errors
Our system performs an automated review of certain uploaded documents. If a submission fails this automated check, the system will prompt you to try again.
If you are certain your document is compliant, or if you experience technical issues:
- Open the submission pop-up in Sigmund
- Click the Contact us button located in that window
Please note: Using this specific button submits your information directly to our credentialing team for a manual review, bypassing automated blocks. Please double check that the information you submit via these forms is complete to avoid further delays.
