Session eligibility
Scribe works with one-on-one talk therapy sessions held through Headway Telehealth only. It's not available for:
- Intake sessions — Scribe doesn't support AI-generated notes for intakes at this time
- Group, family, and couples therapy — Scribe isn't available for sessions with multiple clients
- In-person sessions
- Psychiatric providers
- Non-English sessions
First time using a Headway Telehealth note template?
Some fields in your Scribe-powered note won't have AI-generated drafts. These fields rely on data from a prior template, so you'll need to complete them manually the first time.
How it works
Step 1: Join your Headway Telehealth session
- Visit your Calendar page
- Click on the session you want to join
- Click Join session
If you haven't set up Headway Telehealth yet, you can add it from your Calendar page. To learn more, visit: Headway Telehealth.
Step 2: Request your client's consent
Consent is required to use AI transcription — and only needs to be collected once per client. You can collect it two ways:
Option 1
To send an AI transcription consent form, add it through your Forms library or Calendar:

To enable AI transcription during the session, click the Transcribe pencil icon.
When you initiate transcription, your client will see a pop-up asking for their consent.
If your client doesn't consent, transcription won't start and no AI note will be generated. The session will continue as a normal telehealth call, and you'll be responsible for writing your progress note manually.
Once a client consents, you won't need to ask again. Transcription will automatically turn on for future sessions with that client. If the same client sees a different Headway provider, that provider would need to request consent separately.
Step 3: Hold your session
Once your client consents, the session is transcribed securely in the background.
- You can see the transcription status in the top left corner of the session
- You can pause transcription at any time
- If the call drops, you and your client can rejoin through the same link — transcription will continue. You won't need to click the pencil icon again.
Reviewing and signing your note
Draft generation
Once you leave the session, you'll see a confirmation page letting you know the transcript is being processed. You can close out of it.
Scribe will draft your progress note within a few minutes. To check the status, go to your Calendar and click into the session. The status will change from Generating note to Ready to confirm.
Edit and sign
Once the status changes to Ready to confirm, open the progress note draft from the session details in your calendar by clicking View generated session note.
Review the draft and make any edits needed to ensure it's accurate and reflects your clinical judgment. Once reviewed, sign and submit the completed note.
Revoking consent
Clients can revoke consent at any time in their Settings. If a client revokes consent mid-session, no note will be generated after the session ends.
For future sessions, you'll need to request consent again to use Scribe.
