CAQH ProView is a free, centralized online database where healthcare providers enter and maintain their professional and practice information. Because all insurance payers rely on CAQH to access and verify this data, it’s a critical part of the credentialing process across the healthcare system.
At Headway, we use your CAQH profile to get you credentialed quickly and keep your status in good standing. Providers are responsible for maintaining their own CAQH profiles and granting access to Headway and our payer partners.
During the initial credentialing process
When you join Headway, the first step is completing intake and sharing your CAQH login credentials. This allows us to:
-
Add Headway practice locations
We add the practice locations associated with Headway’s Tax ID to your CAQH profile. Payers require this to recognize that you are practicing under Headway. -
Pre-populate data
We can pull information from your CAQH profile into our intake form, making the process faster and helping identify missing information.
Next, make sure you:
-
Confirm authorization
You must set your CAQH profile authorization settings to “Yes, I grant access.” This lets Headway and our payer partners view your profile and start credentialing without delays. -
Upload documents
Make sure your CAQH profile has all required, up-to-date documents (e.g., license, Certificate of Insurance, DEA certificate). Missing or expired documents will stop the credentialing process.
Ongoing maintenance (after credentialing)
Keeping your CAQH profile accurate and current is critical to staying in-network with payers. Here’s what to watch for:
-
120-day re-attestation
CAQH requires providers to re-attest their profile every 120 days. If your attestation expires, payers may see this as a termination and you risk losing in-network status. -
Practice locations
Do not archive or delete any Headway practice location from your CAQH profile. Payers treat this as a termination request, which can lead to de-credentialing. For virtual-only providers, we’ll use Headway’s physical office address. Even if you don’t recognize it, do not archive it. If you see a Tax ID or address in CAQH that you think might be from us, and want to double-check, don't hesitate to reach out. -
Authorization settings
Always keep your authorization set to “Yes, I grant access.” Denying payer access delays re-credentialing and risks your in-network status. -
Document updates
You’re responsible for uploading renewed or updated documents (like a new license or COI) to CAQH. While Headway may request documents directly, CAQH is the ultimate source of truth for payers.
As a best practice overall, always keep your CAQH profile accurate, current, and fully accessible by Headway. This ensures smooth credentialing with Headway and uninterrupted participation with payer networks.
