Provider Profile Policy

Updated

Please note: We are making all of Headway’s policies accessible to you. These policies are standard within healthcare and cover our guidelines, including those relevant to our providers.

Applicability

This Policy applies to Therapymatch, Inc., d/b/a as Headway, and its affiliates and subsidiaries and all of its associated Professional Corporations (PCs), including but not limited to all current and future PCs (collectively, “Headway,” “we,” “us,” or “our”).

Our Policy

Headway values provider individuality and recognizes that authentic expression helps patients find clinicians who meet their needs and preferences. Additionally, all profiles must maintain a professional tone, reflect accurate clinical information, and align with Headway’s standards for patient safety, clinical quality, and community conduct.

General Expectations for Providers

  • Provider profiles must be complete, accurate, and maintained in a timely manner. This includes, but is not limited to, information about licensure, professional titles, practice locations, accepted insurance plans, telehealth/in-person availability, clinical focus areas, and professional qualifications.
  • Providers are expected to promptly update any changes to their licensure, credentials, claimed specialties or practice information.

Professionalism and Tone

  • Providers are encouraged to express their personality and therapeutic style while maintaining professionalism.
  • Profiles should use language that is respectful, clear, and consistent with behavioral health norms.
  • Profiles should be written using standard spelling, grammar, and clear sentence structure. Headway may offer light editorial support or request revisions when writing quality could impact patient understanding or the overall patient experience.
  • The following types of content are prohibited:
    1. Profane, explicit, or sexualized language or imagery
    2. Discriminatory, harassing, or culturally insensitive content
    3. Extreme political or ideological statements
    4. Religious proselytizing or content promoting faith-based interventions as a substitute for evidence-based care
  • Photos must be professional in nature and must reflect the provider as they currently appear.

This list is non-exhaustive and may be updated over time. Headway will determine, in its sole discretion, whether provider profile content adheres to the above Professionalism and Tone standards.

Clinical Scope of Representation

  • Providers may not advertise or describe interventions that are not allowed on the Headway platform.
  • Profiles may not reference, promote, or imply use of treatments that are inconsistent with evidence-based behavioral health practice or prohibited by other Headway policies.
  • Profiles may not advertise or coordinate treatment opportunities outside of the Provider’s practice on Headway.
  • Providers must ensure that all listed services are consistent with their licensure, clinical competence, and applicable with payer and regulatory requirements.
  • Profiles may not promise specific treatment outcomes or guarantee results.
  • Profiles may not contain content that could be construed as medical advice.

Community Standards

  • Provider profiles must align with Headway’s community standards, which prohibit content that is discriminatory, profane, misleading, or otherwise inconsistent with the professional environment of behavioral health care.
  • Content that appears to exploit or mislead patients, violate patient privacy, or present a conflict of interest is not permitted.
  • Provider profiles must not include content that advertises or promotes services or treatments that are unethical, illegal, or not aligned with established clinical standards

Oversight and Accountability

Headway’s Clinical Quality team oversees the implementation of this policy. Profiles that may not meet these standards can be:

  • Flagged for review and provider feedback
  • Temporarily removed from patient search functions pending remediation
  • Referred to Clinical Quality workstreams for further review and, if necessary, escalated to the Quality Improvement Committee for evaluation of continued platform participation

Headway also reserves the right to edit provider profiles to ensure appropriate grammar, clarity, and alignment with Headway’s policies and profile standards. Providers will be notified of changes made on their behalf whenever possible.

Repeated or serious violations may result in additional actions, consistent with Headway’s provider quality oversight processes and applicable contractual terms.

Conclusion

Headway is committed to ensuring that provider profiles reflect the professionalism, diversity, and evidence-based care that define our network. By maintaining high standards of accuracy, conduct, and clinical appropriateness, Headway aims to build patient trust, enhance therapeutic fit, and uphold the integrity of care delivered through its platform.
