Onboarding with Military OneSource

After you submit your application, Evernorth will work with you to complete the onboarding process off of Headway.

Within 10 business days of submitting your application, you can expect the following emails about onboarding next steps:

  • Confirmation email from Headway
  • Provider training emails from Evernorth
  • Security clearance emails from @ASMResearch.com

     

MOS training requirements

Total time to complete all clearance forms and training if you wish to see children: ~20 hours

Total time to complete all clearance forms and training if you don't wish to see children: ~15 hours

Core onboarding requirements and estimated time to completion include:

  • Declaration of Federal Employment [OF-306 form] (~1 hour commitment)
    • This OF-306 form will be sent to your email from @ASMResearch.com. Please submit within 2 business days to continue with the program.
    • Be sure to have your resume and proof of US citizenship ready.
    • Note: Federal employment is not required to participate in this program, and completing this declaration will not make you a federal employee. This form is required to start the clearance process
  • If you do not currently have existing Tier 1 (Public Trust) federal clearance:
    • In-person federal fingerprinting (~4 hours)
    • Tier 1 Investigation (~2 hour commitment for application completion)
    • Emails for background check and fingerprinting will come from @ASMResearch.com after you submit your OF-306 form. Please take action as soon as you receive these emails
    • Note: Tier 1 background investigations can take up to six months, but you may start serving MOS members once provisional access is granted (this typically takes ~1 month). You’ll be notified via email when this happens.
  • Completing trainings online (~10 hours)
    • Trainings include:
      • Government training (required) 
        • DoD Cyber Awareness Challenge
        • Identifying and Safeguarding PII (Privacy Act)
        • DoD Controlled Unclassified Information (CUI)
      • MOS program training (required)
        • Military OneSource Program & Services Overview
        • Military OneSource Understanding Military Culture Training
      • Role specific training (not required, but highly recommended)
        • Non Medical Counseling for Network Providers
    • Evernorth will provide instructions on completing these required trainings via email
    • Note: Annual refresher training is also required. This includes government required training and a non-medical counseling refresher course

If you’d like to serve children/adolescents, you’ll also need complete additional requirements. This includes: 

  • In-person state-level fingerprinting (where applicable) (up to 4 hr commitment)
  • Child care state background forms covering the past 5 years (~1 hr commitment per state application)
  • Instructions on fingerprinting and background checks will be provided along with the emails above from @ASMResearch.com

 

Accessing Military OneSource’s learning management system (LMS)

You'll be asked to complete training in Evernorth’s learning management system (LMS); this will be assigned to you via email from Evernorth Training Program (donotreply@providercommunications.evernorth.com). 

Instructions on how to set up your account will be provided in the initial email (specifically directions on setting your own password), and from there you can access courses: Provider Training Program.

You'll be notified via email when any new training courses are published, and you'll receive system-generated automated emails from support@learning.cigna.com about new course availability.

Do not use the links within the automated emails to access the LMS. While the information about a new course assignment is accurate in these automated emails, the LMS links within the email will not function correctly. Always access the LMS via direct link, or through the weekly status reports provided by Evernorth.

Headway’s Clinical Quality Monitoring (CQM) process

As part of your onboarding with the Military OneSource (MOS) program, Headway’s Clinical Quality team will review five of your past 90791 (Initial Assessment) notes.

Military OneSource functions differently than other plans. Because this program serves active military members, all providers must complete documentation on a secure government platform outside of Headway.

Since Headway will not have visibility into these notes, this proactive review helps ensure that all providers entering the program meet Headway’s quality and compliance standards and that we’re upholding our responsibility to protect your practice and license.

As a note, passing this review is a standard requirement for all providers onboarding with MOS. It is not based on any concerns with your documentation.

What to expect with CQM

  • Documentation review
    If you already keep your documentation on Headway, no action is needed from you right now. If you store your documentation on a separate platform, you may soon need to submit notes for review. We’ll reach out once we begin the review process.
  • Feedback
    After reviewing, our Clinical Quality team will determine if the required elements are present. Once we do so, we’ll reach out with more information on next steps.

You don’t need to take any action until you hear from us. The review will focus on past notes you’ve already completed.
