Private pay for clients

Updated

How it works

Currently, Headway can only match you with a provider through insurance. If you're new to Headway, you’ll need to have active, accepted insurance to sign up and book an appointment.

If you're already working with a provider on Headway, you may be able to switch to a private pay option if your provider offers it. We recommend discussing options directly with your provider.

Before starting care, clients must sign all required consent forms related to private pay

Eligibility

You may be able to use a private pay option if:

  • You don’t have insurance
  • Your insurance plan isn’t accepted by Headway
  • You’ve asked not to use your insurance for care

Please note: Clients with Medicare or Medicaid policies are not eligible for private pay or bill elsewhere through Headway at this time.

Billing options

If your provider offers private pay or bills outside of Headway, you can choose from two options:

  • Private pay on Headway: You’ll pay for sessions directly through Headway. After your provider confirms the session, you’ll receive an invoice and can pay online. Headway will send you reminders and receipts, and you’ll be able to track everything in your account.

  • Bill elsewhere: You’ll coordinate payment directly with your provider, outside of Headway. You won’t receive invoices or payment reminders from us, and Headway won’t process your payments.

Submitting out-of-network claims to insurance

If you're using private pay and plan to submit claims for out-of-network reimbursement, let your provider know. They may need to include specific information on your invoices to support that process.

Please note that if you have in-network insurance but have chosen not to use it for sessions on Headway, you cannot submit out-of-network claims to your insurance for reimbursement.

Cancellation policy

If you're using private pay through Headway, the same cancellation policy used for insurance-based sessions applies.
