Working with Headway and Kaiser Permanente Northern California

Joining the Kaiser Permanente Northern California x Headway network

Headway is currently partnered with Kaiser Permanente Northern California. You are eligible to join the Kaiser Permanente Northern California network through Headway if you: 

  • Are licensed in California 
  • Have not signed Medicare Opt Out affidavits that are currently in effect
  • Are not currently employed with any Kaiser Permanente entity
  • Have not been employed by Kaiser Permanente Northern California within the last 3 years (across all Kaiser Permanente regions)
  • Do not have a contract with Kaiser Permanente Northern California for your individual private practice

 

Treating Kaiser Permanente Northern California members

Kaiser Permanente Northern California requires an authorization for members to receive external mental health services covered through their insurance. If members have not yet received an authorization to Headway for external mental health services, please direct them to their local Kaiser Permanente Mental Health Clinic for an evaluation. This evaluation will determine the care options that are medically necessary and appropriate for the member. At that time, a member’s preference for referral to Headway will be noted, however is not guaranteed. The discretion as to whether to refer a member externally resides with the local Kaiser Permanente Mental Health Clinic.

If a client intends to use their insurance as part of their payment and still needs to be authorized through Kaiser Permanente Northern California, please proceed to cancel their upcoming appointment and direct the member to contact their local Kaiser Permanente Mental Health Clinic.

Once Kaiser Permanente Northern California authorizes a referral, they send it to Headway, which prompts the member to book an appointment with a Headway provider. The member will also receive a copy of their authorization letter which includes the clinic or group that has been authorized to provide care, as well as the effective date and expiration date for when services will be covered.

 

Billing for cancellations with Kaiser Permanente Northern California clients

For Kaiser Permanente Northern California sessions, you are not able to bill a cancellation fee for no shows or cancellations. These additional fees cannot be charged on or off of the Headway platform. 

Referring Kaiser Permanente Northern California clients to a different level of care

If there are concerns about an additional type of care that your patient might need, tell the client that they should visit their local Kaiser Permanente mental health clinic to see if they can receive an evaluation to see if there are any other care needs that could be supported. You should not make any recommendations about additional care they may need. 

Providers should not make a recommendation for, or authorize, a Kaiser Permanente Northern California client to have time off from care. If you think a patient has more severe care needs, refer them back to their local Kaiser Permanente mental health clinic for an assessment.

If I have a member who has been referred to me through Kaiser Permanente Northern California, can I see them through Headway?
No – you cannot bring a client from another group and see them through Headway. Your client needs to have been referred directly by Kaiser Permanente Northern California to Headway.
